Job Description

The Les Marie Firm & Brand is looking for an Executive Administrator provides high-level administrative support to the executives in an organization, ensuring the smooth and efficient functioning of the executive office. This role requires a proactive individual with excellent organizational, communication, and multitasking skills.

Key Responsibilities     

  1. Administrative Support:     

  • Manage and maintain executives' schedules, including scheduling meetings, appointments, and travel arrangements.     

  • Handle correspondence, including emails, phone calls, and letters, on behalf of the executives.     

  • Prepare and edit documents, reports, presentations, and other correspondence.     

  1. Meeting Coordination:     

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.     

  • Ensure all necessary materials and information are prepared and available for meetings.     

  1. Communication:     

  • Serve as a primary point of contact between the executives and internal/external stakeholders.     

  • Screen and direct communication with appropriate departments or individuals.     

  • Communicate on behalf of executives to relay messages and information accurately and timely.     

  1. Project Management:     

  • Assist in planning and coordinating projects and initiatives led by the executive team.     

  • Track project progress and ensure deadlines are met.     

  • Collaborate with various departments to gather information and provide updates on project status.     

  1. Office Management:     

  • Oversee the daily operations of the executive office.     

  • Manage office supplies and ensure that the office environment is well-organized.     

  • Handle confidential and sensitive information with discretion.     

   

Requirements:     

  • A minimum of 5 years of experience in an administrative or executive support role.     

  • Experience in a fast-paced environment is preferred.     

  • Excellent organizational and time management skills.     

  • Strong written and verbal communication skills.     

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.     

  • Proficiency in Adobe Pro and DocuSign     

  • Ability to handle multiple tasks simultaneously and work under pressure.     

  • Strong attention to detail and problem-solving skills.     

  • Ability to maintain confidentiality and exercise discretion.
